Social media posts
Create → Social is where your team plans, writes, approves, and publishes Facebook and Instagram posts. Everything lives on one calendar (Upcoming, Week, and Month), next to the campaigns and events the posts are for.
Connecting Facebook and Instagram
Connect once and approved posts can publish on their own at the time you set. Until then, every post is published by hand (it still works, you just copy and post it yourself).
- Go to Settings → Social and choose Connect Facebook and Instagram. A new post also shows a Connect Facebook & Instagram button while nothing is connected.
- Sign in with Facebook, pick the studio's Page, and keep Connect its Instagram account too on.
- Choose Connect.
You need to be an admin of the Facebook Page, and Instagram has to be a Business or Creator (professional) account linked to that Page in Instagram's own settings. "No Instagram professional account is linked to this Page" means that link is missing. "We didn't find a Facebook Page you manage" means the Page wasn't picked when Facebook asked: connect again and pick it.
Reconnect or switch Page changes the Page. Disconnect turns scheduled posts back to "Ready to post", so nothing goes out by surprise.
Planning posts
- New post (or the + on a day) starts one. Pick a template chip at the top to start from ready-made words; the chips stay there, so you can switch to another template (it asks first, because switching replaces the name, idea, and caption).
- Get ideas and the AI ideas tab plan a month, a campaign, or an event. Each idea can be added, added and opened, or dismissed, or add them all as drafts.
- On an event, Plan posts drafts a run of posts around it. Campaigns add their own posts when you plan them.
- Drag posts between days in Month view. Turn on Reusable (in the post's Details) for a post that doesn't go out of date, then find it under Library → Reusable posts.
Writing a post
- Give it a Name (only your team sees it), a Date, and a Time (needed for it to publish on its own).
- Under Where it goes, pick Facebook, Instagram, or both, and choose the Format: Feed post, Reel, or Story.
- Under Details, Notes for the team holds the idea and what to photograph or film. AI writes the caption from it.
- Write the Caption, or use Write with AI (Save and write with AI on a new post) and pick one of the options. AI captions are always a draft for you to read.
- Add up to 10 photos or videos: drop files, Choose from library, or Design in Canva. The first one is the cover.
- Save it as a draft, send it for review, or mark it ready.
Instagram needs a photo or video, and feed photos must be between 4:5 (tall) and 1.91:1 (wide), or Instagram refuses them. A reel is exactly one video, and a story is one photo or video. Captions can be up to 2,200 characters with up to 30 hashtags. A post can't be approved, scheduled, or published while it still has a blank like [date] or (price).
Approving posts
When Posts need approval before they go out is on (in Settings → Social), writers choose Send for review, and an Owner or Admin chooses Approve or Ask for changes with a note. If someone who can't approve edits an approved post, it goes back to draft. With approvals off, writers mark posts ready themselves.
Scheduling and publishing
- On its own: once a post is approved, has a time, and its platforms are connected, choose Schedule, or pick When to post: Now and choose Post now. Stop it publishing on its own takes it off the schedule. If it doesn't go out, the post says why, and Try publishing again retries.
- By hand: the "Post it" card has Copy caption, Download all (the photos), and Open Facebook / Open Instagram. Afterwards, choose Mark it posted. Approved posts that aren't scheduled send a "Time to post" alert at their time (9am when there's no time).
Facebook stories can't publish on their own; post those by hand. Other reasons a post won't publish: no time set, the time already passed, Facebook access expired (reconnect in Settings → Social, then schedule it again), or Instagram took too long to process a video.
Your posting goal
Set how many posts a week you aim for under Settings → Social → Posting (3 to start). The dashboard, Social, the Strategist, and the Action Center all count it the same way: posts dated this week and the next two (weeks run Sunday to Saturday), counting every post that isn't skipped, drafts included. AI month plans fill up to the goal.
Content categories (also in Settings → Social) are your recurring themes, like belt promotions or student spotlights, each with a color and a target share of your posts.
Who can do what
- Owners, Admins, and Members write posts, add photos, use AI, send posts for review, and mark them posted.
- Owners and Admins approve posts, schedule them, change social settings, and connect or disconnect Facebook and Instagram.
