studioHYPE is marketing software for youth activity studios: dance, martial arts, gymnastics, swim, music, theater, cheer, sports, and camps. It is operated by Particular ("we", "us"). This policy explains what information studioHYPE collects, how we use it, who we share it with, and the choices you have.
Who is responsible
Studios (our customers) use studioHYPE to manage their leads, families, students, marketing, and email. Two kinds of information are involved:
- Account information about studio owners and staff who sign up for studioHYPE. We are responsible for this information.
- Studio data: the families, students, leads, and messages a studio adds to or sends through studioHYPE. The studio controls this information and decides how it is used; we process it on the studio's behalf and only to provide the service. If you are a parent or family member, the studio you have a relationship with is your first point of contact for your information.
What we collect
From studio owners and staff
- Your name, email address, password (stored only as a secure hash), role, and timezone.
- Your studio's profile: name, type, locations and addresses, programs, ages served, brand colors and logo, website, social media links, goals, and the other details you enter.
- Billing details. Payments are processed by Stripe; we receive your plan, billing status, and the last four digits and expiry of your card, never the full card number.
- What you create in studioHYPE: campaigns, calendar items, posts, emails, templates, tasks, notes, reviews, uploaded files and images, and posts in the studio owner community.
- Basic technical information: IP address, browser type, and a record of actions taken in the account (an activity log), used for security and support.
Studio data about families
- Parent or guardian names, email addresses, phone numbers, and mailing addresses.
- Students' first and last names and birthdates, the programs they are interested in or enrolled in, and enrollment status.
- Lead details such as how the family heard about the studio, trial class dates, notes, tags, and the history of calls, emails, and messages.
- Email engagement: whether an email from the studio was delivered, opened, or clicked, and replies sent back to it.
- Information sent in from connected tools the studio sets up, such as its website lead form, its registration software through Zapier, or our API.
From connected accounts
- Facebook and Instagram, when a studio connects them: see Facebook and Instagram below.
- Canva, when a staff member connects it: a secure access key and the designs they choose to bring into studioHYPE.
- Google, when a staff member signs up or signs in with Google: their name, email address, and Google account ID, used only to create their account and sign them in. We don't receive their Google password or access anything else in their Google account.
Cookies
studioHYPE uses a single session cookie to keep you signed in and to protect forms against forgery. We do not use advertising cookies or third-party analytics. If a studio adds our tracking snippet to its own website, it records page visits from links in the studio's campaigns so the studio can see which campaigns brought visitors; it does not identify visitors across other websites.
How we use it
- To provide studioHYPE: storing and showing a studio's information, sending the emails it writes and schedules, publishing the social posts it approves, and running the automations it turns on.
- To produce reports, recommendations, and reminders for the studio from its own data.
- To draft content with AI when a studio asks for it (see below).
- To bill for subscriptions, provide support, keep the service secure, prevent abuse, and meet legal obligations.
- To send account emails such as password resets, invitations, alerts, and summaries you can turn off in your notification settings.
AI features. When a studio uses a feature that writes or analyzes something with AI, the relevant information (for example the studio's profile, brand voice, and the item being drafted) is sent to OpenAI to produce the result. OpenAI does not use information sent through its API to train its models. AI results are always shown as drafts for a person to review.
We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not use studio data to market to families.
Who we share it with
We share information only with service providers that help us run studioHYPE, under agreements that limit their use of it to providing their service to us:
- Hosting: our web hosting provider stores the application, database, and uploaded files in the United States.
- Stripe: subscription billing and payments.
- Postmark (ActiveCampaign): sending emails and receiving replies to them.
- OpenAI: AI drafting and analysis when a studio uses those features.
- Meta (Facebook and Instagram) and Canva: only when a studio connects them, to do what the studio asks. Google confirms who someone is when they sign in with Google; we send Google nothing about the studio.
- Geoapify: suggesting addresses while someone types one in.
We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger or sale of our business (in which case this policy continues to apply). In the studio owner community, other studio owners see what you post there and your community profile; nothing from your studio's families or leads is ever shared there.
Facebook and Instagram
When a studio connects its Facebook Page and Instagram professional account, studioHYPE receives, through Meta's official APIs and only with the permissions the person grants:
- The names and IDs of the Pages they manage and the Instagram account linked to the chosen Page, its username, and profile picture.
- An access key that lets studioHYPE publish to that Page and Instagram account. It is stored encrypted.
- Performance numbers for posts studioHYPE published (such as reach, views, reactions, comments, shares, and saves) and for the account (such as followers, reach, profile visits, and website taps).
We use this only to publish the posts the studio approves at the times it chooses and to show the studio how its posts and accounts are performing. We do not read private messages, do not post anything the studio didn't approve, and do not use this data for advertising or share it with anyone else.
To disconnect, a studio can choose Disconnect in Settings → Social, or remove studioHYPE in Facebook under Settings & privacy → Settings → Business integrations (or Apps and websites). When Facebook tells us an account was removed or asks us to delete data, we delete the connection and its access key and show a confirmation code you can use to check the deletion's status. Posts a studio wrote in studioHYPE belong to that studio and stay in its workspace until the studio deletes them.
Children
studioHYPE is used by studio owners and staff, who are adults. We do not knowingly collect information directly from children. Studios may enter basic information about the students they teach (such as a first and last name, birthdate, and program) as part of their relationship with the student's parent or guardian, and they are responsible for having the right to do so. Emails from studios are sent to parents and guardians, not to children. A parent who wants to review or delete their child's information should contact the studio, or contact us and we will help.
Emails to families
Every marketing email a studio sends through studioHYPE includes an unsubscribe link and the studio's mailing address. Unsubscribing stops that studio's emails to that address. Studios agree in our Terms of Service to email only people who have a relationship with them and to honor unsubscribes. Emails include a small image and tracked links so the studio can see whether they were opened and clicked.
How long we keep it
- Account and studio data, including email delivery and engagement records: for as long as the studio's account is active, so studios can compare results year to year. After an account is closed, we delete its data within 90 days, except what we must keep for legal, tax, or billing reasons.
- The raw messages connected software (such as a studio's registration software) sends us: 30 days.
- Facebook and Instagram access keys: until the studio disconnects, or Facebook tells us the access was removed.
Deleting your data
Step-by-step instructions are on our data deletion page.
- Studios can delete families, leads, posts, and other records at any time, and can ask us to close the account and delete all of its data by emailing [email protected].
- Families can ask their studio to delete their information, or email us and we will pass the request to the studio and help it complete the deletion.
- Facebook and Instagram data can be deleted by disconnecting as described above, or by emailing us.
Security
studioHYPE is served only over HTTPS. Passwords are stored as salted hashes, access keys for connected accounts are encrypted, every studio's data is kept separate from every other studio's, and staff access is limited by role. No system is perfectly secure; if we learn of a breach that affects your information, we will notify you as the law requires.
Your rights
Depending on where you live (including California and the European Economic Area), you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict some uses of it. To make a request, email [email protected]. If your information is part of a studio's data, we will work with that studio to respond. We will not discriminate against you for exercising these rights.
Changes
We will post any changes to this policy on this page and update the date at the top. If a change is significant, we will also email studio owners before it takes effect.
