History and comparing years
studioHYPE keeps every year of your events and campaigns: the dates, goals, results, marketing, offers, and what you wrote afterward. Each year sits beside the others so you can see how this one is going, and next year's plan starts from what worked.
What's kept
An event, registration period, season, or campaign that repeats every year has one entry per year, linked together. Each year keeps its own dates, goals, and results. Two weeks after a year ends (or as soon as you record its results), its numbers are saved, so later changes don't rewrite history. Owners and Admins can Recalculate a saved year from its "Every year" page if something was credited late.
Removing something that already happened
When you remove something that has already happened (its dates have passed, its results are recorded, an email went out, a post was published, or a lead was credited to it), it goes to the archive instead of being deleted. It leaves the calendar and lists, but keeps its results, notes, and lead credit, and comparisons and reports still count it. Anything scheduled under it stops going out.
Find the archive under Calendar → History → Archive. Restore puts an item back. Owners and Admins can Delete for good, which can't be undone and takes away a campaign's credit for its leads. Things that never ran are simply deleted when you remove them.
Comparing years side by side
Open an event and choose Compare years (on a campaign, it's the Compare tab). The years line up as columns, newest first, with each number's change from the year before it:
- registration goal, registrations (with % of goal and % full), and revenue
- leads, trials, enrollments, conversion, and where the leads came from
- when marketing started, when registration opened, and the day it filled
- email activity (emails, copies, opens, clicks) and social performance (posts, reach, engagement, link clicks)
- offers, spend (with cost per registration and per lead), and the outcome
Below that, each year's timeline sits on one strip measured from its own start date, so you can see which year started promoting earlier or filled sooner. Charts show leads and registrations building up by days out, one line per year, and the notes each year wrote are side by side. Pick up to three years to compare (or another event of the same type, like this summer's camp against winter camp). Export the comparison as CSV, or print it.
While this year is still coming up or running, Where it stands shows this year so far against the same point in the other years: "34 leads, 40 days out; last year had 41 by now".
For an event with no campaign, leads are every lead that came in while it was promoted (filtered to its program when it has one). The comparison says so.
Every year of one thing
Each event and campaign with more than one year has an Every year page (from the event's side card, or Calendar → History): one line per year with its results, the best year for each number highlighted, a trend when there is one ("registrations up 3 years running"), bars by year, timelines, and everything the years wrote down. Export it as CSV.
Adding past years
Starting out, or have years from before studioHYPE? Add them so comparisons work from day one:
- Type one in: on the event, choose Add a past year and fill in what you know: dates, registrations, capacity, the day it filled, revenue, leads, enrollments, spend, emails, posts, the offer, and notes. Blank is fine for anything you don't know.
- Import with AI: upload an old report, spreadsheet (Excel or CSV), Word recap, PDF, or a photo; paste text or a table; or link a Google Sheet, Google Doc, or web page. AI drafts every past year it finds, matched to the events and campaigns on your calendar, and the draft opens for you to check. Untick anything that's wrong, choose where each year belongs, then add them. AI only copies what's in the material, never guesses a number, and shows the line each year came from. Google files need sharing set to "Anyone with the link can view".
Past years show as As recorded, since their numbers were typed in rather than counted.
Linking years
Events made by hand each year aren't connected until you link them. On an event, Link a year suggests look-alikes (same kind, a similar name, around the same time of year), or pick any one. Calendar → History also lists things that look like the same event in another year, so you can link them with one click. Linked something by mistake? Unlink it from the Every year page. Nothing is deleted.
Registrations, capacity, and the day it filled
Set an event's capacity (its spots) when you edit it. Then Log registrations every week or so: how many have registered so far, and revenue so far if you like. Each check-in builds a fill curve to compare with other years, and reaching capacity marks the day it filled (or choose Mark full). Recording results after it's over can set the fill date too.
Planning from last year
An event or campaign with earlier years shows Planning from last year while it's coming up:
- Suggestions from what happened: it filled early so open registration sooner, the best year started promoting further out, a goal about 10% above last year (never past capacity), the same capacity, a campaign or offer that ran last time but isn't planned yet, and the trend over the years. Where it's safe, a button makes the change for you.
- This year's plan beside last year's results: registrations, goal, capacity and fill date, revenue, leads, and when marketing started and registration opened, in days out.
- Last year's timeline, each step with the date it would be this year, and Bring these in to add what this year doesn't have yet (see Bringing last year's plan in).
- Past offers, with how that year went, and the notes earlier years wrote.
Beside it, Lessons from last time lists what earlier years' reviews said to keep doing, change, and answer up front, each to mark applied, make a task, or set aside for this year (see Reviews, lessons, and the playbook).
Editing an event shows last year's numbers under its goals. The annual plan shows each month a year earlier (leads, enrollments, and what happened), and its "Every year" list shows each repeating item's last result. When a repeating event's marketing is behind where last year's was by the same point, its owner gets one reminder, and the Strategist raises it as a recommendation.
Year over year in Reports
Reports → Year over year takes any dates (or a season or registration period) and shows every number for the same dates in each of the last five years, with the change from last year. Pick a season and each year uses that season's own dates. A chart shows how each year built up, the month-by-month grid shows your busy and quiet months year against year, and every season and registration period is listed year by year. The other report tabs can also compare with the same dates two years ago, and a season compares with its own earlier year.
Who sees what
Everyone who can see the calendar can see comparisons and history (a campaign's comparison needs access to campaigns). Revenue and spend show to Owners and Admins. Adding, importing, linking, logging registrations, and archiving need permission to manage the calendar. Deleting for good is for Owners and Admins, and so is recalculating a saved year.
