The resource library

The resource library (Resources in the sidebar, under Learn) gathers every ready-made starting point in one place: checklists, plans, social calendars, promotion ideas, lesson plans, and every campaign, email, social, automation, and Canva template, all written for your kind of studio and in your studio's words. Your team's own checklists, lesson plans, documents, and links sit right beside them.

What's in it

  • Social calendars: a month of posts around a theme (back to class, recital season, camp countdown, the holidays), dropped onto your social calendar in one go.
  • Social, email, newsletter, and campaign templates: the same ones you see when you start a post, an email, or a campaign.
  • Canva templates: designs to copy into your own Canva, plus any file in your asset library marked as a template.
  • Marketing plans: a theme and focus for every month, with the events and campaigns behind them, for your annual plan.
  • Lead follow-up sequences: automations with every email written, from new inquiries and trials to welcoming, keeping, and winning back families.
  • Annual planning checklists and event checklists: the work behind the year, and everything an event needs, each line dated.
  • Lesson plans: one class start to finish, for a teacher to teach from.
  • Promotion ideas: offers that work for studios, with terms, timing, and a tip.
  • Registration campaigns, and your own documents and links: the handbook, policies, forms, and pages your team keeps looking for.

Finding the right one

The library opens on Recommended for you now: a checklist for an event coming up that doesn't have one, a campaign for an event nobody is promoting yet, a 12-month plan if you don't have an annual plan, a month of posts for next month, and offers that fit this time of year.

  • Search every resource at once, or open a category and filter it by kind of event, time of year, built in or your team's own, and sort by what fits best, what's used most, or newest.
  • Everything is shown for your kind of studio. Choose Every kind of studio (or another kind) to borrow ideas: a dance studio can use a martial arts idea, worded as written.
  • Star the ones you reach for most; they're under Your stars.
  • Each resource shows how often your team has used it and what for, so "Used 3 times, last for Spring Recital 2026" tells you it works.

Using a resource

Every resource has one main button that puts it to use:

  • Event checklists go onto an event, every event of that kind in the next year, or every one in an annual plan, each line dated from its own event. Events that already have it are skipped.
  • Annual planning checklists go onto an annual plan, each line in its month (see Checklists in your annual plan).
  • Social calendars open on a real month first: each post on its day, with what's already planned that day. Untick any, rename any, move any, then add them as drafts.
  • Marketing plans go to your annual plan's review page as suggestions: each month's theme and focus (only months without one, unless you choose otherwise) and its events and campaigns (skipping ones already on your calendar). Nothing changes until you approve.
  • Promotion ideas become a promotional period (on a campaign, an event, or by themselves), or Start the campaign builds the matching campaign with the idea as its offer.
  • Email and newsletter templates start a new email, a personal email to one family, a step in an automation, or a message to a group.
  • Campaign templates, social templates, and sequences open the campaign setup, the post editor, or a copy of the automation (switched off until you turn it on).
  • Canva templates, documents, and links open in a new tab.

Getting an event ready

Every upcoming event, registration period, season, and closure has a From the library card: its checklist (one click to add it, dated from the event), a campaign to promote it, and the emails, posts, designs, and offers it usually needs. A campaign for an event shows the same card for its event. Each link opens with the event already picked.

Starting a checklist on an event, the dialog lists the library's checklists for that kind of event first. And any event's checklist can be saved to the library with its bookmark button, so next time it's one click.

Checklists in your annual plan

Your annual plan has a Checklists card: lists whose lines are each due in a month of the plan. Start one from the library (plan the year, registration season, summer, the recital year, competition season, the holidays, staffing, the year-end wrap-up) or type your own. Give each line to someone and move it to its own month. Each month on the plan shows how many of its lines are done, and the person a line is given to sees it in their Tasks once its month starts.

Some library checklists run on calendar months (summer planning starts in January). Others start whenever you pick: choose the month, and its "month 1" starts there.

Lesson plans on the teaching calendar

A lesson plan from the library goes onto a teacher's calendar for one day, or as a run with Repeats (the weekdays you pick every week or every few weeks, or monthly; studio closures are skipped). Each one is its own plan: change one on its own, or it and the ones after it. Choose the teacher, the day and time, and the class, and the teacher is told it's on their calendar, with a reminder the day before if you like. Choose Change it before it goes on to edit it first.

  • Lesson plans sit on the calendar's Teaching layer. It's on in Mine, so each teacher sees theirs; the studio-wide calendar leaves it off unless you tick it.
  • Lesson plans (in the sidebar, under Plan) lists what's coming up, yours or everyone's, by class, and the last four weeks.
  • Each plan shows its parts with their minutes (and whether they add up to the class length), what it works on, and what to bring. Print it for the studio floor.
  • After class, write notes and mark it taught. Teach it again copies it to another day or every week. Save to the library keeps it for anyone to use.

Your team's own resources

Add your own from Add your own: an event checklist, an annual planning checklist, a lesson plan, a social calendar, a marketing plan, a promotion idea, a document (PDF, Word, Excel, or an image, also kept in your asset library's "Resources" folder), or a link. The editor lets you add, move, and remove lines, lists, posts, and parts.

  • Make it ours on a built-in makes your own copy to change. The built-in stays as it was.
  • Save an event's checklist, a plan's checklist, or a lesson plan to the library from where it lives.
  • Owners and Admins can hide a built-in that doesn't fit your studio. Hidden ones leave the library and recommendations for everyone; find them again under Hidden from the library.

Making one with AI

Make one with AI writes an event checklist, an annual planning checklist, a lesson plan, a social calendar, a promotion idea, or a marketing plan for your studio, from your profile, programs, voice, and playbook rules, around what you ask for. It opens for you to check: add it to the library (or edit it first) or discard it. Anything only you know is left in [brackets].

The Strategist knows the library too: ask it for the right checklist or offer, and it can add an event checklist for you once you approve.

Who can do what

Everyone can browse the library, star resources, and add their own (and edit or remove the ones they added). Owners and Admins can edit or remove any of the studio's own resources and hide built-ins. Using a resource needs the right to do what it does: managing the calendar for checklists, promotions, and lesson plans; the annual plan for annual checklists and marketing plans; social posts, emails, campaigns, or automations for their templates.
