Setting and tracking goals

A goal turns "a good fall" into a number you can watch: 100 fall enrollments, 60% trial conversion, $25,000 in summer revenue. Most goals count themselves from your leads, enrollments, emails, and posts, so you see every week whether you're on pace without adding anything up.

Setting a goal

Open Goals in the sidebar and choose New goal (or Set a goal on an event, registration period, or season). You pick:

  • What it measures. Grouped by category: enrollment, registration, trial conversion, lead generation, revenue, retention, and marketing reach. Pick "Something else" for anything we can't count for you.
  • The target. As you pick the dates, the form shows what you did over the same dates last year and over the most recent stretch as long, with a target 10% better to start from.
  • When it counts. The day it starts counting and the deadline. The chips under the dates fill them in from a season, registration period, event, or campaign.
  • What it counts. Leave this empty to count the whole studio, or narrow it to programs, lead sources, or locations. "Count only leads credited to the linked campaigns" measures exactly what your campaigns brought in.
  • An owner. They hear when the goal is hit, falls behind, or finishes.

Turn on Set it again every year for goals that come back (fall enrollment, summer camp revenue). Next year's copy starts with the same setup, linked to next year's events, and compares with this year's result.

How goals are counted

  • Program enrollments: children who started a program in the goal's dates (from the programs marked on each family).
  • Active enrollments: program enrollments active on the deadline. Progress counts up from where you were when the goal started.
  • Leads, trials, conversion rates, and reply time: from your leads. Conversion rates need at least five cases before the goal says whether it's on track.
  • Registrations and recorded revenue: added up from the results you record on the events and registration periods linked to the goal (or everything ending in its dates when none are linked).
  • Tuition revenue (estimated): each enrolled child's monthly program price for the days they were enrolled. Add prices in Settings → Studio → Programs.
  • Retention: of the enrollments active when the goal started, the share still active at the end.
  • Followers and reach: from your connected Facebook Page and Instagram account.

Prefer to type the number yourself? Choose Updated by hand, and record where it stands with a check-in from the goal's page.

Pace and status

Every goal compares where it is with where it should be by now. Pace is a straight line from start to deadline, or, when last year had enough of the same thing, last year's timing (so a goal that always fills in the final two weeks isn't flagged as behind in week one). The mark on the progress bar is where pace says you should be.

  • Ahead of pace and On track: keep going.
  • Behind pace: under 90% of where pace says you should be.
  • At risk: well behind, or behind with two weeks or less to go. The Strategist flags these as recommendations.
  • Hit, or after the deadline Missed.

The goal's page shows the chart (actual, pace, and last year), what's needed each week from here, and, for lead and enrollment goals, where the progress is coming from: by campaign, source, and program.

Link a goal to the campaigns working toward it, the events and registration periods it's about, the programs it's for, and the planned posts and emails supporting it. Linked campaigns show how much they've added. A goal with a deadline coming and nothing working toward it shows up in the Strategist's recommendations.

Check-ins and notes

On a goal updated by hand, a check-in records where it stands on a day; those points draw its chart. On any goal, a note keeps the story: what changed, what you're trying next. The goal's owner can always check in.

When the deadline passes

The day after the deadline the goal is finished: its result is kept as hit or missed, and its owner is told. Finished goals stay under Goals → Finished and on each event's history. Moving the deadline or changing the target reopens it.

On the dashboard

Pin a goal (the pin button on its page) to keep it on your dashboard. Without pins, the dashboard shows your running goals with the nearest deadlines.
