Help / Getting started
Your starter workspace
No one starts on a blank screen. The last step of setting up your studio has your Strategist draft a starter workspace from everything you've told us: your programs, ages, offers, what makes you different, and your kind of studio. Nothing is saved until you approve it, one piece at a time or all at once.
What it drafts
- Brand voice, social themes, and key dates: a personality, voice, and tone; five to eight recurring themes for your posts; and your year of seasons, registration periods, events, and closures, with promotion periods leading up to each big moment.
- Suggested campaigns: four to six campaigns worth running in the next twelve months, picked from the ready-made campaigns for your kind of studio and timed to your key dates.
- Starter email templates: the five emails you'll send most (always a reply to new inquiries and a registration email), written in your voice with your real details.
- Lead follow-up emails: the emails new inquiries and trial families get, in the new inquiry, trial, missed trial, and after-the-trial automations, rewritten in your voice.
Building it
On the Starter workspace step, tick the parts you want (all four are ticked to start) and press Build my starter workspace. The brand voice and dates are drafted first, so the campaigns, emails, and follow-ups are written in that voice and timed to those dates. The other three are drafted at the same time. Everything takes two or three minutes, and the screen shows what it's working on.
If one part doesn't come through (the AI was busy, or your monthly AI allowance ran out), everything else is still saved for review, and you can build that part again on its own.
Reviewing and approving
The review page lists everything that's waiting, part by part. Edit anything that doesn't sound like you, then Approve it, or Dismiss it to throw it away. Approve all saves everything that's left as it is. Approving makes the real thing:
- Brand voice and social themes go into Settings → Studio → Brand, where every AI feature reads them.
- Key dates go on your calendar and repeat every year.
- A campaign goes on your calendar as planned, with all its pieces.
- An email is saved under Your templates.
- A follow-up becomes an automation, switched off.
What you've approved is listed at the bottom of the review page, with a link to each one. Suggestions you haven't decided on wait for you after setup too: Settings → Studio shows how many, and after a couple of days your Strategist reminds you in the Action Center.
Suggested campaigns
Each suggestion names the campaign, the ready-made campaign it's built from, when it runs, the key date it leads up to, and why it's worth running then. Open Change the name or start date to adjust it before you approve. A campaign tied to a key date is timed from that date once it's on your calendar (approve the key dates first); if you change the start date, it runs from your date instead. A campaign approved after its start date starts the day you approve it.
Approving adds the campaign with its posts, emails, offers, tasks, and graphics, all dated and owned by you. Nothing goes out: write the copy (or have AI draft it from the campaign page) and schedule each piece as usual.
Email templates
Each email shows its name, subject line, and preview text, which you can edit, and Preview the email shows it filled in for a sample family in its design. Square-bracket fill-ins like [date] are left only for details you haven't told us. Save as a template adds it to Your templates when you start a new email. Every email you start from it opens in the full editor, where you can change anything.
Lead follow-up emails
Each follow-up shows the automation, what it does, and every email in it: click a subject line to see the whole email. Add the automation makes it with these emails in place and every other step as it comes (the waits, the calls on your list, the alerts). Like every automation, it starts off: open it from Automations, read each step, preview it with a real lead, then switch it on. An automation you already have isn't drafted again.
Building it again
After setup, Settings → Studio has a Starter workspace card. Build it again drafts any part from what's in your profile now, which is worth doing after you change your programs, offers, or voice. Building a part again replaces only that part's suggestions that are still waiting; anything you already approved stays as it is.
Made for your kind of studio
Every kind of studio has its own marketing year. Swim schools book summer lessons in March and April; dance studios fill fall classes in late July and August; martial arts schools do best at back-to-school, in Bullying Prevention Month, and at New Year's. studioHYPE knows these moments for each kind of studio and uses them to:
- put the campaign that fits at the top of Campaigns → New a few weeks before each moment, with why and when to start;
- have your Strategist recommend it in the Action Center when promotion should start within three weeks and nothing on your calendar covers it yet;
- time your starter workspace's campaigns and promotion periods.
A campaign made from that ready-made campaign (or one named for the moment, like "Summer swim session") counts as covering it, and the recommendation clears on its own.
Who can do what
Owners and Admins (anyone who can manage the studio profile) build and review the starter workspace. Approving a campaign, an email template, or an automation also needs access to campaigns, email, or automations, which Owners and Admins have by default.
