Help / Getting started
Your dashboard and the Action Center
Your dashboard is the first thing you see when you sign in: today's numbers, what needs attention, and what's coming. The Action Center (in the sidebar, under Dashboard) is the full list of everything that needs someone, sorted so you can work through it.
The dashboard
- Your numbers: your pinned goals (or the ones closest to their deadline), new leads this month against the same point last month, how many families enroll after a trial, and posts planned this month against your posting goal.
- Needs attention: the most pressing things right now, with a count for each area. Tick one done or snooze it for a week without leaving the page.
- This week's focus: your short to-do list for the week (more below).
- Leads needing follow-up: the families waiting longest on you, with the next step right there: reply, log a call, record whether they came to their trial, or rebook a missed one. Owners and Admins see everyone's leads; everyone else sees their own.
- Next two weeks: events, seasons, registration opening, campaign launches, offers starting and ending, closures, and your own tasks, in date order.
- Marketing in progress: posts and emails coming up that aren't ready, graphics still to make, next month's posts against your goal, and campaigns getting ready with how many pieces are done.
- Good news: campaigns and goals ahead of pace, and registration filling faster than last year.
- Then reviews to write, picks from the resource library, live campaigns, and your content queue.
The Action Center
Every hour, studioHYPE checks your leads, families, calendar, campaigns, content, tasks, and numbers for anything that needs someone. Each finding says what's wrong, shows the evidence (the names, dates, and numbers), and has a button for the next step. Anything clears on its own once your data shows it's handled: reply to the family, and their alert goes away.
The tabs sort everything by area: Leads & families, Marketing, Tasks, Performance, and Good news. Mine shows only what's yours (given to you, or about something you own), and Do these soon shows only what's urgent. The number beside Action Center in the sidebar is how many urgent things are waiting. Choose Check again to re-run every check right now.
Leads and families
- New inquiries waiting for a first reply, overdue follow-ups, and follow-ups due today.
- Trials with no outcome recorded, families who came and haven't enrolled, and families who missed their trial and haven't rebooked.
- Leads with a teammate who hasn't signed in for two weeks (or has left), open leads with no next step, and leads gone quiet.
- Families who replied to an email and haven't heard back.
- Families whose email bounced, enrolled families with no email or phone, families who left a class with no check-in since, families waiting three weeks or more on a waitlist, and families that look like duplicates. These are also on Contacts → families needing attention, each with a button to fix it.
- Interest lists before a season, waitlists, and families who clicked an email but didn't sign up.
Marketing
- Registration opening in the next 30 days without a campaign (or with one that isn't ready), at a month, two weeks, and one week out, with when last year's promotion started.
- Posts and emails waiting for approval: all of them, most urgent when one goes out in the next two days or has waited more than two days. Approvers can approve a post right from the alert.
- Posts in the next week with no caption or photo, weeks short of your posting goal, and (from the 20th) next month's social calendar under half planned.
- Campaigns launching soon that aren't ready, live campaigns gone quiet, and finished ones waiting for results.
- Offers starting in the next two weeks that nothing announces, offers ending in three days with no last-chance reminder, and offers coming up with nothing written down.
- Events with nothing promoting them, events behind last year's timeline, and graphics due.
Tasks and the annual plan
- Your overdue tasks, and your tasks due in the next three days.
- Checklist lines (from events and the annual plan) given to you and due this week, and lines due soon with nobody on them.
- The yearly tasks and annual-plan checklist lines coming up in the next 30 days.
- Last month's check-in in your annual plan, and next month's theme when it isn't set.
- Events, registration periods, seasons, and campaigns in the next 45 days with nobody in charge.
When a task or checklist line has a reminder set, its owner is notified before it's due (Settings → Notifications → Reminders).
Performance and good news
- Campaigns behind their targets, and goals behind pace or at risk.
- Seasons and registration periods filling slower than the same point last year.
- Changes in your numbers: the last four weeks against the four before, for leads, new enrollments, time to first reply, trial to enrollment, email opens and clicks, social reach, website visits, and cost per lead. These only show when there's enough data on both sides and the change is real (a quarter or more, or 5 points for a rate), with the same weeks last year beside it.
- Good news has its own tab: campaigns ahead of their targets or past them, leads enrolling well above your usual rate, goals ahead of pace or hit, registration filling faster than last year, and numbers that improved. Good news is never urgent and never counts in the sidebar number.
Acting on an alert
- The main button goes straight to the fix: the lead, the post, the campaign's content, the plan month.
- Ask about this asks your Strategist to help you act on it.
- The tick marks it done. If the data still shows it a few days later, it comes back.
- The clock snoozes it for a week. The cross dismisses it; a dismissed alert comes back only if it gets noticeably worse.
- Snoozed and dismissed (in the page's menu) lists what's set aside, with Put it back on each.
Owners and Admins can snooze or dismiss the studio's alerts for everyone. Alerts that are only yours, like your overdue tasks, are yours to manage.
On your plate
Beside the list, On your plate gathers everything with your name on it, wherever it lives: your open leads and follow-ups due, your tasks and checklist lines this week, graphics assigned to you, feedback you've been asked for, posts and emails waiting for someone who can approve them, and the events, campaigns, offers, and posts you own in the next 30 days.
Your focus list
Your focus is a short to-do list for the week, picked from what you can act on, your own work first. It's grouped under follow-up nobody should miss, promotion coming due, deadlines, campaigns and goals, and next steps. On Monday mornings your Strategist writes it up in plain words. Items tick themselves off when the data shows they're handled, and the plus button turns one into a task. Write up my week writes it up with AI. A family on your focus isn't listed again under Leads needing follow-up, and lead follow-up stays out of Needs attention, so each family shows up once. See Working with your Strategist.
The email summary
Every Monday morning you get an email with what needs you soon, your focus for the week, what's coming up, and good news. It only comes when there's something in it. In Settings → Notifications you can switch it to Every morning (sent only on mornings when something is urgent), or turn it off. With the summary on, your weekly focus comes in it rather than in an email of its own.
Who sees what
Everyone with the dashboard sees the Action Center, but each alert shows only to people who can act on it: lead alerts need access to leads, approvals need permission to approve, numbers from Reports need access to Reports, and so on. Your own alerts (your tasks, your checklist lines) show only to you.
